One month trial

The ProofDOCS report system is a part of ProofSafe, the first month is free, this gives you unlimited use of the system, you can run as many reports or tests as you want. It may take a couple of reports to get used to ProofDocs, once you are familiar then reports will become simple, field time will be reduced, office time can be halved and most of the hassle will be history.

Low monthly subscription

The ProofDocs reporting software is an add-on to ProofSafe.  Ongoing use of ProofSafe is normally $16 (plus gst) per month, per business - see ProofSafe Pricing There is no contract and you can stop at any time. 

ProofDocs usage fee

Currently clients are charged for uploads and the amount of data stored, this is way too little for the ProofDOCS tree report system, this will probably become a 'per tree' cost. (prices quoted are exclusive of GST)

Templates - Tree Hazard Reports, Tree Management Plans (TMP), Tree Surveys

Use of ProofDocs comes with ready made expert arboricultural report templates.

• Tree Hazard Reports
• Tree Management Plans (TMP), and
• Tree Surveys (this is just a minimalist template with the basic tables and headings)

The Hazard Report template and TMP template have been developed over some years, they are comprehensive and professional.  The Survey template is simple and suited to a basic tree survey.

How much profit can ProofDocs generate for an arborist?

We find ProofSafe usage will save a paper based consulting arborist 1 to 3 hours per day or around 40 hours per month. Time is valuable, if you're running a tree business on the tools with a few reports on the side you will find just 1 or 2 standard reports per week using ProofSafe can save you at least 100 hours over a year,  if  you charge out at $100 + per hour that's a significant saving in time and/or money. More importantly it makes life MUCH easier, taking all the hassle and considerable desk time out of reports so you can get back to running a business or being an arborist, or time with family or .....whatever. The legals

Refund policy

ProofDocs is a user pays system, you are only charged AFTER you have used the service, consequently there is no refund facility, however if you choose to stop using ProofDocs because you are not happy with the service then you will not be charged for the final calendar month - that is any part of the month in which you told us you were stopping. If for some reason a refund is required it will be paid via EFT to your nominated account.

Payment disputes

You are required to check your bill and payment each month, if there is a problem or you disagree with the costing you must contact us immediately.   If you disagree with the way we have charged then you need to contact us via email or phone immediately and we will sort it out with you.  If you are not happy with the way we have calculated your bill and we cannot reach agreement then we will refund the amount you are disputing for that last calendar month.  We will not refund amounts from previous months unless it is clear we have made an accounting mistake and the amount charged does not match our pricing as set out above in the Pricing section.

Payment process

Once you understand the service ProofDocs is offering and after trialing it for a month, the next step is to complete the registration process, this will include supplying your preferred payment method and details. You will then be set up to use the full service. If required we are also able to establish a company profile for you where you can have a set of company templates as well as individual arborist templates.  This means each member of the team can have their own templates but if the company wants to create a new template or make significant changes then the whole team can take a copy of the new template. At the end of each calendar month your account will be automatically debited, the amount charged will reflect your usage of the service. You will then be emailed a receipt. Your account will be considered active and you will accrue charges each month until you let us know via the contact page or through the 'My account' page that you wish to stop. At any time you can login and go to the 'My account' section of the website and see your payment / usage status.

Delivery

ProofDocs is an online service, we don't send paperwork or products.  The service is delivered via the ProofDocs website.

In addition, your personal information will help us keep you posted on the latest announcements, software updates, special offers, and services that you might like to hear about. We will ask before sending you this type of information or any other junk mail.

The information we collect and how we may use it

There are a number of situations in which your personal information may help us give you better service. For example:

• We may ask for your personal information when you’re discussing a service issue on the phone with an associate, registering for an offer, participating in an online survey or purchasing a product.
• When you interact with ProofDocs, we may collect personal information relevant to the situation, such as your name, mailing address, phone number, email address, and contact preferences; your credit card information and information relating to a support or service issue.
• We may use personal information to provide products that you have requested as well as for auditing, research, and analysis to improve ProofDocs’s products.

Your information is not shared with any entity or person not associated with ProofDocs.

When we disclose your information

ProofDocs takes your privacy very seriously. ProofDocs does not sell or rent your contact information to anyone or any entity. At times we may be required by law or litigation to disclose your personal information.

To help us provide quality service, your personal information may be shared with legal entities and vendors within the ProofDocs alliance, all entities within this group will take steps to safeguard it in accordance with ProofDocs’s privacy policy.

As is standard practice on many business websites, ProofDocs’s website uses “cookies” and other technologies to help us understand which parts of our websites are the most popular, where our visitors are going, and how much time they spend there. We may also use cookies and other technologies to ensure our online advertising is targeted. We use cookies and other technologies to study traffic patterns on our website in order to improve the business. And we use cookies to customise your experience which can provide greater convenience each time you interact with the site. As is true of most websites, we gather certain information automatically and store it in log files. This information includes Internet Protocol (IP) addresses, browser type, Internet Service Provider (ISP), referring/exit pages, operating system, date/time stamp, and clickstream data. This information does not identify individual users. The data is used to analyse patterns, to administer the site, to track users’ movements around the site and to gather demographic information. In some of our email messages we use a “click-through URL” linked to content on the ProofDocs website. When customers click one of these URLs, they pass through our web server before arriving at the destination web page. ProofDocs takes precautions including administrative, technical, and physical measures to protect your personal information against loss, theft, and misuse, as well as unauthorised access, disclosure, alteration, and destruction. The ProofDocs Online payment system uses Secure Sockets Layer (SSL) encryption on all web pages where personal information is required. To make purchases from the ProofDocs you must use an SSL-enabled browser such as Chrome, Firefox, Safari, Internet Explorer. Doing so protects the confidentiality of your personal and credit card information while it’s transmitted over the Internet. You can reduce risk related to your personal information by taking precautions to protect your personal data when you are on the Internet. Change your passwords regularly using a combination of letters and numbers, and make sure you use a secure web browser.
